Terms, Conditions & Privacy for C2X

1. Acceptance of Terms

By accessing or using C2X, you agree to be bound by these Terms of Service.

2. Permitted Use

C2X is a coaching-analytics platform that helps coaches improve communication through AI-powered feedback. Prohibited uses include: recording without consent, surveillance, harassment, and illegal activity.

3. Recording & Consent

You are solely responsible for obtaining all required consents before recording, and for complying with applicable laws and your organization's policies. The consent you obtain must cover not only the recording itself, but also how C2X handles it as described in these terms: recordings are retained for a limited period (see Section 6) and are used to provide your analysis and to improve C2X's detection accuracy. When sessions involve minors, see Section 8.

4. Accounts & Security

You must provide accurate information and keep credentials confidential. Notify us immediately of any unauthorized access.

5. Data Collected & Stored

• Audio recordings of your coaching sessions (retained for a limited period — see Section 6)

• Transcripts of recorded sessions

• AI-generated analytics and coaching insights, which may include the names of participants mentioned during a session (for example, player-specific feedback counts)

• Account information: name, email, profile photo, and usage metadata

• Subscription and payment identifiers. Payments are processed by Stripe (web) and Apple/RevenueCat (iOS). C2X never stores your card number.

• Device and diagnostic data (crash reports and performance data used to keep the app working)

6. Audio Handling & Retention

Audio recordings are uploaded securely and used for two purposes: (1) generating your transcript and coaching analysis, and (2) internal quality assurance — improving the accuracy with which C2X detects coaching behaviors. Recordings are stored encrypted, with access restricted to the limited C2X personnel who perform this quality work.

Audio is retained for a maximum of 180 days from the date of recording, then permanently deleted. Your transcript and analytics are unaffected by audio deletion and remain available in your account.

Audio is never sold, never shared except with the service providers listed in Section 9, never used for advertising, and never accessible to your organization's directors or administrators (see B2B Addendum). Our AI service providers do not use your audio, transcripts, or any of your data to train their models.

7. Data Retention & Deletion

Transcripts and analytics are retained while your account is active. Audio is retained for a maximum of 180 days (Section 6). You may request deletion of your data — including audio — at any time by contacting kelly@coach2x.com. Upon account termination, your data is deleted within 30 days.

8. Use Involving Minors

If sessions involve participants under 18, you must obtain verifiable parental/guardian consent before recording and comply with COPPA and equivalent laws. That consent must cover the handling described in these terms, including limited-period audio retention and use for improving detection accuracy. Parents or guardians may request deletion of a minor's data at any time via kelly@coach2x.com.

9. Service Providers

C2X uses a small number of service providers to operate the platform. They process your data only to provide the service and do not use it to train their own models or for their own purposes:

• Amazon Web Services — secure storage, transcription, and AI analysis infrastructure

• OpenAI — AI analysis of session transcripts and aggregated staff metrics

• Stripe — payment processing for organizations (web)

• Apple / RevenueCat — payment processing for individual subscriptions (iOS)

• Mailgun — transactional email (invitations, account emails)

• Sentry — crash and error reporting

• Heroku (Salesforce) — application hosting

10. No Professional Advice

C2X provides informational analytics only — not legal, medical, psychological, or professional coaching advice.

11. Limitation of Liability

Service is provided "AS IS." C2X disclaims all warranties and limits total liability to fees paid in the 12 months preceding a claim.

12. Enforcement Rights

Accounts may be suspended or terminated for violations of these terms.

13. Director access is metrics-only.

Directors and organizational administrators see development metrics, trends, and AI-generated summaries only. They can never access a coach's transcripts, audio, or quotes. This boundary is enforced on C2X's servers — it is not merely hidden in the interface.

14. Organizational data.

Each organization's data is isolated from every other organization. Organizational administrators manage seats and billing for their own organization only. An organization may opt out of having its recordings used for detection-accuracy improvement (Section 6) by contacting kelly@coach2x.com; opted-out audio is used solely to generate that organization's transcripts and analyses.

15. Organizational responsibility.

The organization is responsible for ensuring its coaches obtain the consents described in Sections 3 and 8, and for its coaches' compliance with these terms.
